What information do we collect and hold about you

We collect information about you when you register an account with us or place an order with us for our services.  We also collect information about you in feedback surveys and competitions that we may hold from time to time.

How we will use the information we collect and hold about you

We collect information about you to provide you with transport services on a cash or credit basis, processing and managing your account.  We retain this information with your consent and within the terms of our contract with you, and to simplify the booking process on future occasions.  We are also required by licensing laws determined by Central Government and licence conditions imposed by Local Government to keep certain information obtained during and subsequent to the booking process.

Account and Online applications

If you apply for an account or via our online services, before you enter any personal details into the online form, we’ll tell you how your information will be used in a link to our Data Protection Policy, Data Privacy Statement and refer you to our Terms and Conditions.

For credit account applications, we may pass your details to a recognised credit reference agency or fraud prevention agencies to assist us in processing your application.

Contacting us by phone

If you contact us by phone we will tell you that your personal information will be obtained, recorded, retained, stored and disposed of in accordance with the requirements of the General Data Protection Regulations as set out in our Data Protection Policy and other relevant Enactments, Statutes or Regulations now in force.  You can call our customer services team on 0191 4403962 during the hours of 0900 – 1700 Monday to Friday, except Bank or Public Holidays.  To help us improve our services to you and for training purposes we will record or monitor your phone calls.

Contacting us by email

When you email us, we collect some personal details like your name, address and phone numbers. Email isn’t 100% secure – so we advise that you keep personal information to a minimum. We advise you not to transmit account information, passwords, pin codes or any other forms of identification information using email.

Emails are stored on our standard internal systems, which are secured by means of end to end encryption supported by a comprehensive Next Gen Firewall and can’t be accessed by external parties.

Surveys and competitions

We’ll treat any survey or competition information you provide with the same high standard of care as we do all other customer information, using any details provided strictly within the terms of the competition and this Data Protection Policy and Privacy Statement.

Cookies

We do not use cookies to track your use of the internet after you leave our sites, nor do we store any personal information in them that could identify you to other people.

How long will we store your personal data?

We store this information only for as long as is reasonably necessary and for a maximum period of time that is determined by relevant Statute, Enactment or Regulation.  Examples of a maximum retention time periods would be the retention of information necessary for the purposes of the Limitation Act 1980 in respect of simple contract, (6 years) or HMRC requirements, (7 years).  Longer or shorter periods of retention may apply dependent upon the legislative requirements.  At the end of these periods we review the need to retain your data to determine if its retention is absolutely necessary.

Obtaining a copy of your information and correcting mistakes

If we hold information about you, you can request to be provided with a copy of this information by way of a ‘Subject Access Request’ and to have any inaccuracies corrected where necessary. A copy of this information can be requested via a general enquiry free of charge over the telephone or by email contact us.  A subject Access Request form can be obtained here but you are not obliged to use it.
